What Is a Project and How Do Project Statuses Work?

A project in Firm360 represents a discrete body of work for a client — a tax return, a bookkeeping month, an audit, or any other engagement your firm manages. 

What is a Project?

Each project is tied to a specific client and built on a project template that defines the workflow, tasks, and statuses involved. Projects track who is working on the engagement, where it stands, and when it is due.

Projects can be created two ways:

  • One-off projects — created manually for a single engagement
  • Recurring projects — automatically generated on a defined schedule (monthly, quarterly, annually, etc.)

Every project has a Year and Period that identify which tax or service period the work covers — this is separate from the calendar year the project was created in.

 

What is a Project Status?

A project status represents the current stage of work on a project. Your firm defines its own statuses in Admin > Customizations- Project Statuses — but a project status progression could looks like:

Not Started → In Preparation → In Review → Completed

Statuses do more than label where a project is. Each status can be configured with:

  • Tasks  — automatically create to-do items for staff a a specific status
  • Assignment rules — automatically reassign the project to the right person at each stage
  • Status transition rules — require all tasks to be complete before moving forward
  • Client actions — automatically send a request or document to the client when a status is reached
  • Automated messages — send the client an email when the project hits a specific status

 

How to Move a Project to the Next Status?

  1. Navigate to Clients in the left navigation and open the client record.
  2. Click the Projects tab and open the project.
  3. On the project detail page, click the current status.
  4. Select the next status from the dropdown.

If status transition rules are in place, Firm360 will check that all required tasks are complete before allowing the move. Complete any outstanding tasks and try again.
