Best Practices for storing permanent client notes within Firm360

Firm360 allows firms to maintain important long-term client information directly within the Activities section of a client record. Using Activities for permanent notes ensures that key client details are easily accessible and documented in one centralized location.

Maintaining permanent client notes ensures your team has full visibility into relevant history when preparing returns, planning services, or communicating with the client.

When to Use Activity Client Notes

Permanent client notes are helpful for recording important client information that may impact future work or communications. These notes should capture significant life or financial changes that your firm may need to reference over time.

Examples include:

  • Marriage or divorce

  • Birth or adoption of a child

  • Changes to filing status

  • Starting or closing a business

  • Major financial changes

  • Other important life events that could affect tax or advisory services

Documenting this information helps your team stay informed and ensures continuity when working with clients over multiple years.

How to Record a Client Note un Activities

  1. Navigate to the Client record.

  2. Select the Activities tab.

  3. Click Add Activity.

  4. Choose Client Note as the activity type.

  5. Enter a clear description of the event or information.

  6. Save the activity.

Once saved, the note will remain part of the client’s activity history and can be referenced by your team whenever needed.
