How to Inactivate a Client

Firm360 does not delete client records once they have been entered. You can remove a client from view, searches, and reports by changing their status from Active to Inactive.

  1. From the Clients tab in the left navigation, select the client you want to inactivate.
  2. From the client's Main tab, click Edit Client.
  3. From the Status dropdown, select Inactive.
  4. Enter a reason for the inactivation when prompted — this is saved to the client record for your reference.
  5. Click Save.

(TIP: Inactive clients can be made active again at any time using the same process.)

 

What happens to open projects and tasks

When inactivating a client, Firm360 will check for open projects and tasks and prompt you with one of the following:

  • Open projects and tasks exist — you will have the option to cancel all open items during the inactivation process.

  • No open projects or tasks exist — the client will inactivate without any additional steps.

  • Open projects and tasks exist but no task status is set to close out tasks — you will see this message:

"Unable to close tasks related to this Client. Please update your status settings in Customizations to include at least one task status with the 'Closed' option enabled."

 

To resolve this: Task Statuses & Project Closure

  1. Navigate to Admin > Customizations in the left navigation.
  2. Select Task Statuses.
  3. Edit the statuses that should close out tasks and enable the Closed option.
  4. Return to the client and complete the inactivation.

To stop a specific recurring project before inactivating:

  1. From the client's Projects tab, locate the recurring project.
  2. Click Edit Next to the Recurring Project.
  3. Select Delete.
  4. Confirm the deletion.

(TIP: Review all recurring projects before inactivating a client to avoid orphaned open projects on your dashboard.)

How to View Inactive Clients

You can find it under the Status where it shows Inactivated By, Inactive Date, and Inactivation Reason.

When a Client Search returns no results, click "Show Inactive" in the bottom right corner to expand the search to include inactive clients. Inactive clients matching search criteria will be displayed.

6.  Inactive clients are hidden from view by default.  In order to see inactive clients, select "Show Inactive" from the bottom of the client search results.

7.  To hide inactive clients, select "Hide Inactive" from the bottom of the client search results.
