Managing Individual Clients and Contact Roles (Primary, Spouse, Alternate)

Individual Clients' names are populated based on the Primary Contact's and Spouse's (if applicable) name. The Client name is not directly editable, but will update automatically when either the Primary or Spouse contact is updated.

Primary Contacts

1.  From the Clients tab in the ribbon

2.  Select +Add to begin adding a new client.

3.  For clients with entity type = Individual, the First and Last name entered will be used to create the client name and Primary contact. 

4.  Select Save.

 

5.  When adding a second contact, under the Contacts tab, select + Add.

Spouse Contacts

6.  The system will ask if this contact should be set as Spouse. (If this contact is NOT a spouse, uncheck the box.)  The contact type for a Spouse should be set to Contact.  Be sure to supply all required information and click Save (7).

 

5.  If the second contact was confirmed as a spouse, the client name will be updated to reflect the primary and spouse contact names. Contacts selected as Primary and Spouse can be viewed and edited from the client Main tab.  (TIP:  If client name does not update as expected, refresh your browser to get latest view).

 

Alternate Contacts

  • The Alternate Contact becomes the primary point of communication
  • Notifications, emails, and portal-related communication will be directed to the Alternate Contact instead of the Primary Contact
  • This is commonly used for:
    • Executors or representatives
    • Assistants or office managers
    • Family members handling client matters

1.  Multiple contacts can be added to a single Individual client by selecting the +Add button and entering the required information. If a spouse has previously been set, the system will not ask if the new contact is a spouse.

2.  The new contact will appear on the Client Contacts tab.

3.  Contacts added to a Client that are not Primary or Spouse will have no impact on the Client name.  Individual clients can have a specific contact set as an Alternate contact to receive communication from within Firm360.  To choose an Alternate contact, select Edit from the Main tab.

 

4.  From the Alternate Contact dropdown, choose the desired contact.  (This contact must be previously added to this client). 

5.  Select Save.

6.  The Alternate contact will be displayed on the Client Main tab.  The Alternate Contact will have no impact on the client name.

 

When viewing the client in the Client Search, the Alternate Contact will be shown instead of the Primary contact and will be identified as an Alternate Contact.

Important Notes

  • The Alternate Contact must already exist as a contact in the system
  • Assigning an Alternate Contact does not remove the Primary Contact
  • You can update or remove the Alternate Contact at any time
