Billing - Client Accounts Receivable

The Client Accounts Receivable report provides a detailed view of outstanding client balances, allowing your firm to monitor unpaid invoices and take action on overdue amounts.

This report can be accessed from the Billing section under Reports.

Overview

The Client Accounts Receivable report displays open balances by client, helping your team track receivables and identify overdue invoices.

You can use this report to:

  • Review outstanding balances across all clients
  • Identify past due invoices
  • Filter balances by aging periods
  • Take action on overdue accounts
Important Note:

For firms that invoice via a QuickBooks Online (QBO) sync, this report is disabled.

Static Report Format

  • This report reflects a snapshot in time based on the selected period-ending date.
  • It does not update dynamically but provides a historical view of receivables.

How to Access

  1. Navigate to Reports
  2. Select Billing
  3. Click Client Accounts Receivable

Filter Options

The Client Accounts Receivable report includes several filters to help refine your results:

  • Client – View balances for specific clients
  • Client Type – Filter by entity type (e.g., Individual, Business)
  • Office – Filter by office location
  • Partner/Manager – View receivables by assigned staff
  • Date Range – Filter based on invoice or transaction dates
  • Days Past Due – Segment balances by aging category
  • Client Custom Fields - Filter by your firms custom fields

Days Past Due

Use the Days Past Due filter to view outstanding balances based on how long they have been unpaid:

  • 0–30 days
  • 31–60 days
  • 61–90 days
  • 91+ days

This helps prioritize collections and focus on the most overdue accounts.

Report Actions

Email Client Statements

You can email client statements directly from this report to communicate outstanding balances.

This allows your team to:

  • Send payment reminders
  • Share up-to-date account statements
  • Streamline collections without leaving the report

Note: We do not record a 'sent date' when you send the statement. We encourage you to send the invoice first, which records the sent date in the 'view details' action dropdown menu for the invoice. 

Review Outstanding Balances

Quickly assess which clients have unpaid invoices and how long balances have been outstanding to guide follow-up efforts.

Best Practices

  • Review the report regularly to stay on top of receivables
  • Use aging filters to prioritize older balances
  • Send statements directly from the report for timely follow-up
  • Monitor trends across clients, partners, or offices

Sample statement details:

  • The end date is today's date
  • All invoices and payments for the client since the start date will be listed in chronological order. 
  • The beginning and ending balance will display.
