Billing - Client Engagements Management

The Client Engagement Management Report allows firms to bulk create, update, and manage recurring client engagements, streamlining the process for ongoing services such as bookkeeping, payroll, and other fixed-fee agreements.

This report is essential for firms managing recurring client work, helping to maintain accurate billing, streamline engagement tracking, and optimize workflow efficiency.

How to Access the Report:

  1. Navigate to Ribbon > Reports > View Reports > "Client Engagement Management" View.

 

 

To add a new engagement to a filtered group of filtered clients, identify the group:

2.  From the Search Criteria dropdown, choose the filter field and select options OR

3.  Enter the full/partial client name and select the search icon

 

 

To add a new engagement to a selected group clients:

4.  Select/Deselect all clients shown

5.  Select/Deselect individual clients by selecting the check box

6.  Go directly to the Edit Client Engagement modal to Add to ALL clients shown

7. Go directly to the Edit Client Engagement modal to add to the client selected.

8.  If choosing a set of clients, select the gear icon dropdown and click "Add to Selected" to go to Edit Client Engagement modal.

 

After choosing clients

9.  Enter data in the required fields.  Enter optional Notes if desired.  Select $(MONTH), $(YEAR), and/or $(QUARTER) to add these dynamic fields to the recurring engagement description.

10.  Click Save

  • The internal cost is the firm cost for the item/expense.
  • The client fee amount is the fee you are charging the client.

**To enable the internal cost functionally, you need to enable Track Costs for Realization for User and Expenses in the Admin->Setting->Users section. 

Time in Scope

  • All Time in Scope: All the time you work on will be part of that engagement. 
  • Time in Scope for Selected Categories: Only specific categories go towards that monthly fee
  • Time In Scope Except Excluded Categories: All the time you work is part of the engagement EXCEPT the excluded categories.
  • Time In Scope Except Excluded Types: All the time you work is part of the engagement EXCEPT the excluded types.
  • No Time in Scope: Fee that you don’t track time for but need to bill like subscription fees (example: QBO hosting, client fees, etc.)

 

After creation, you will see the client engagement amount, next start date, and an edit button where you can edit the client engagement for a specific client. 

 

 

NOTE: Engagements will be automatically created based on settings at 12:01am of the selected recurring timeframe.
