Recurring projects in Firm360 allow you to automate repeat engagements—such as annual tax returns—so they are created consistently and on time each year.
This guide outlines how to set up a recurring project and recommended best practices.
Setting up the Recurring Project
1. Navigate to the Client
- Select Clients from the left-hand menu
- Search for and open the appropriate client
2. Open the Projects Tab
- Click on the Projects tab within the client record
3. Add a Recurring Project
- Under Recurring Project Templates, click Add
Configure the Recurring Project
Complete the required fields as follows:
Recurring Type
- Set to Annually (for tax returns)
Period/Year Policy
- Select Previous Period and Year to ensure the project reflects the correct tax year
Project Template
- Choose the appropriate template (e.g., Individual, Business, Non-Profit)
Assigned To
- Recommended: leave unassigned initially
- Optionally, use project assignment rules to assign work at a specific project status
Next Date
- Set this to the first day after the year-end period
- Example: For a 12/31 year-end, use 1/1 of the following year
- This determines when the project will automatically activate
Name
- Use a consistent naming convention (you can include dynamic fields like year or start date)
Best Practices
- Use standardized project templates for consistency across clients
- Set Next Date carefully to ensure proper timing of project activation
- Keep projects unassigned initially to avoid cluttering dashboards, then assign later via rules
- Regularly review templates to ensure deadlines and workflows are accurate
