Task Statuses & Project Closure

Task Statuses help your firm track the progress of work and keep dashboards, reports, and queues accurate.

 

Common examples include:

  • Not Started

  • In Progress

  • Waiting for Client

  • Completed

  • Cancelled

 

Task Status Setup

All Task Statuses are fully customizable and can be managed in Customizations → Task Statuses.

From this section, your firm can:

  • Create new statuses

  • Edit existing statuses

  • Control which statuses represent completed work

  • Designate default statuses used when closing projects

     

Configuring Task Statuses

Properly configuring Task Statuses ensures your team has clear visibility into what is active, what is waiting, what is complete, and what has been cancelled.

  1. Default Complete Task Status – Select the task status that will automatically be used when projects are marked as completed. Only statuses flagged as Closed = Yes will appear in this dropdown.

  2. Default Cancelled Task Status – Select the task status that will automatically be used when projects are marked as cancelled. Only statuses flagged as Cancelled = Yes will appear in this dropdown.

  3. Reorder – Adjust the display order of your task statuses as they appear throughout the system.

  4. Edit – Modify an existing task status, including its name, flags (Initial, Closed, Cancelled), or color.

  5. Add Task Status – Create a new custom task status for your firm.

  6. Show Inactive – View any task statuses that have been marked inactive.

     

Important Rules

  • Only one Default Complete and one Default Cancelled status can be active at a time.

  • Default Complete must also be flagged Closed.

  • Default Cancelled must also be flagged Cancelled.

  • A status cannot be both Default Complete and Default Cancelled.

  • Default statuses must remain active.

If a required default is not configured, the system will prevent tasks from closing to avoid silent failures.

 

What Happens to Tasks When a Project is Closed(Completed or Cancelled)

When changing a project to a status flagged as Closed, you’ll see the option to:

Close open items(tasks and client actions

If a project has open tasks but a required default task status has not been configured, you will see the message below:

Cannot close related tasks. Please configure an active Task Status with 'Default Cancelled' enabled before closing projects with a Cancelled status. Go to Task Statuses


When you close out a project with outstanding e-signature requests, those requests will be voided. 

The system behaves as follows:

  • Closed only → Tasks move to the Default Complete status.

  • Closed + Cancelled → Tasks move to the Default Cancelled status.

  • Cancelled only (not Closed) → Tasks and client actions remain open.

This applies to single updates, bulk updates, and automated template transitions.
