Your IT department will need to handle the FileSync Tool installation — but don't worry, everything on our end is already set up correctly. Below are all the steps and details they'll need to get started.
Step 1: Gather This Information Before Starting
Your IT team will need the following before they begin. Have this ready to go:

Firm Alias: This is the subdomain in your Firm360 URL.
- For example, if your URL is ledgerladies.myfirm360.com, your Firm Alias is ledgerladies — just the part before .myfirm360.com. Do not include .myfirm360.com part.

User Token: Each user must generate their own token in Firm360
- Go to Integrations > FileSync to find the token
- You will need to collect each user's token and pass them along to IT before installation starts. Read Step 2 below.
Step 2: Check Admin Access
The person generating tokens must have the Admin role in Firm360. Here's how to check:
- Look for Integrations in the left black ribbon in Firm360
- If you can see it — you're good to go!
- If you cannot see it — you do not have the Admin role yet
- To get the Admin role, have another Admin at your firm assign it to you
- Once assigned, log out of Firm360 and log back in — Integrations should now appear
- (The Admin role can be removed again after installation if needed)
Step 3: IT Installs FileSync on Each Computer
Since FileSync is a locally installed tool, IT must install it on each user's individual computer under the local C: drive. Each install will need that specific user's token.

Here's the quick version of what IT needs to do on each computer:
- Use the .exe file found under Integrations > FileSync > Download Installer
- Enter the Firm Alias. This is the subdomain in your Firm360 URL.
- For example, if your URL is ledgerladies.myfirm360.com, your Firm Alias is ledgerladies — just the part before .myfirm360.com. Do not include .myfirm360.com part.
- Enter that user's specific User Token when prompted
Note: If installing on a server or shared environment, only one user token is needed. In addition, the filesync tool, should only be installed once.
Steps 4: Start the Services for firm360-sync
Open the Services application - scroll down and locate "Firm360 Sync" - make sure the service exists and is Running. If it isn't running, Start is. If it is greyed out when you try to Start it, restart your computer then re-try.
Your IT team may need to start the service via the command prompt if users do not have access to do this.
Step 5: Final Setup in UltraTax
Once installation is complete:
- One primary user at the firm needs to complete the Office Configuration section in UltraTax.
- This step should be completed once per year for each UltraTax app.

Step 6: Test It Out
- Open a client that you know exists in both Firm360 and UltraTax
- Print a Return and follow the instructions under Step 2 of the UltraTax section in the KB: UltraTax - FileSync Tool Set Up
- Ensure that the client name and client number match exactly between UltraTax and Firm360. This includes any leading or lagging whitespaces as well as punctuation. If the client name and client number do not match exactly one of the two will occur:
- The printed PDFs will go to the failed folder and not be pushed into Firm360
- The printed PDFs will go into your Office Client so that a user can adjudicate what client the documents should be moved too. (The user will receive an email notification of this.)
Important:
- If you do not see the FileSync section under Integrations in the left ribbon, it means your firm does not have it enabled. Please contact support@myfirm360.com so we can enable it for you.
