Documents- Send Documents to Client via Secure Link

This article will guide you through the process of sending a document to a client via a secure email link. You can also obtain a shareable link to include in your emails, allowing for easy and secure document access.

Send Document to Client

1. Navigate to the Client's Information: Go to the “Clients” tab and search/select the client you want to send a document to.

2. Access the Document Section: In the client’s profile, go to the “Documents” tab.

3. Select the Document: Check the checkbox next to the document you wish to send to the client.

4. Use the Action Menu to Send: From the “Action” drop-down menu, select “Send to Client”.

 

 

5. Choose Contacts and Add a Message

  • Select the contact(s) you want to send the document to.
  • You can also add a message and/or apply additional security options if needed.
    • To send the document to multiple contacts, select additional contacts from the list.
    • If you do not see the desired contact, choose "Other Recipient", then enter their email address.
    • You can send the document to multiple "Other Recipient" contacts by separating their email addresses with a comma.

6. Advanced Security Options: Add a Passphrase for a added security. You will enter a passphrase and a passphrase hint. The hint will display to the contact/client below the passphrase field. For example, the passphrase could be the last 4 of their mobile number or SSN OR their child's name. 

7. Send the Document

  • Once everything is set, click "Send".
  • A record of the sent document and any associated message will be saved in the Activities tab of the client’s profile.

 

Send Document via Shareable Link

If you want to include a document link in an email, you can generate a shareable link.

  1. Navigate to the Document
    Go to Clients > Documents and find the document you wish to share.

  2. Select the Action Option
    Click the Action drop-down menu for the document and select “Send to Client”.

  3. Generate the Shareable Link
    In the bottom left corner, select “Get Shareable Link”.

  4. Enter a Message & Add Security

    • You can add a message to display when the client accesses the download page.
    • For added security, you can enter a passphrase and a passphrase hint (e.g., the last four digits of their phone number or their child's name).
  5. Copy the Link
    After clicking “Get Shareable Link”, Firm360 will create the link and copy it to your clipboard, which you can then paste into your email. Please note the link is valid for 48 hours for security reasons.

 

View the Sent Document Activity

  • To view the sent document and message, go to the Activities tab of the client’s profile and click View.
