Firm360 allows your firm to grant clients access to the Client Portal, where they can securely upload documents, review files, send messages, and complete assigned client actions.
Before a contact can access the Client Portal, their contact record must include the required information needed for authentication.
Required Information
To enable Client Portal access, the contact must have:
Email address
Mobile phone number
Tax ID / Social Security Number (SSN)
These details are used to verify the client’s identity and support the portal’s security and multi-factor authentication process.
Send a Client Portal Invite
Navigate to the Clients tab.
Search for and open the client record.
Select the Contacts tab.
Locate the contact who should have portal access.
Click the Action dropdown and select Send Portal Invite
Review the notification that appears if required information is missing.
Once all required information is entered, send the invite.
Add Missing Contact Information
If the contact is missing required information:
Close the Send Portal Invite window.
In the Contacts tab, select Action → Edit Details for the contact.
Enter the required fields:
Email address
Mobile phone number
Tax ID / SSN
Click Save.
Once all required information is added, the contact will be eligible for Client Portal access.
Check Portal Access Status
Within the Contacts tab, you can quickly identify whether a contact is ready for portal access:
Green checkmark – Contact is properly set up for Client Portal access.
Red exclamation mark – Required information is missing.
You can select Action → View Details to review the contact record and identify any missing fields.
Export Contacts to view a full list of Client Portal Access Status
Notes
Each contact must have their own unique email address and mobile phone number to access the Client Portal.
If you do not have a contact’s SSN, a temporary PIN-style number may be used for the last four digits requirement.
Avoid adding extra spaces when entering email addresses or phone numbers, as this can cause login errors.
