Overview
Client Engagements allow you to create recurring fixed fees for services provided to a client. These engagements automatically generate billable items based on the selected schedule and defined scope of work.
Each client can have multiple engagements, and each engagement can be configured independently. Optional features such as progress billing and auto-invoicing can be enabled to further automate billing workflows.
Create a Client Engagement
You can create a client engagement from the client record or through bulk tools.
From the Client Profile
Navigate to the client record
Select the Billing tab
Click Add Client Engagement
Engagement Settings
Complete the following fields when setting up an engagement:
Recurring Type
Select how often the engagement should recur (e.g., monthly, quarterly).Advanced Options (optional)
Define a specific day of the week or month for the recurrence.Client Fee Amount
Enter the fixed fee amount to be billed.Internal Cost (optional)
Enter the internal cost associated with the engagement.Billable Category and Type
Assign the appropriate billing classification.Next Start Date
Select the date the engagement will begin.Title
Enter a name for the engagement.
You can use variables such as${MONTH},${YEAR},${QUARTER}or${START_DATE}to dynamically update the title.
Scope of Work
The scope of work determines how time entries are treated within the engagement:
All Time In Scope
All time entries for the client are included in the fixed fee.No Time In Scope
No time entries are included. All time is billed separately.Selected Categories in Scope
Only time entries from selected categories are included. All other time is billed separately.Note: If no categories are selected, time entries will be treated as out of scope.
Additional Options
Apply as Progress Bill
Enables progress billing for the engagement.Auto-Invoice Engagement
Automatically creates an invoice on the engagement start date and clears included time entries from the previous period.Notes
Add internal notes as needed.
Save the Engagement
Click Save to create and activate the client engagement.
Important
If multiple engagements exist for a client, review scope settings carefully.
An engagement set to All Time In Scope will override other engagements for that client.
