Projects: Task-Level Estimates

Overview

Firm360 supports task-level time estimates and the ability to log time directly to tasks within projects. This allows you to track task progress more accurately and stay on budget.  

Important Notes: 

  • Estimated Total is based on Open or Completed Tasks. Total does not include Task Estimates for Tasks that have not yet triggered. 
  • Only user with the Admin role and/or Time Tracking Admin can edit Task Level Estimates.

Enable Task-Level Settings

Before using task-level estimates, ensure the following settings are enabled:

  1. Use Task-Level Estimates
     
  2. Require Task Selection for Time Entries (optional; enabling this will require users to select a task when logging time for the project)

     

Note: Enabling “Require Task Selection” is optional. If not enabled, time entries can be logged without selecting a task.

These settings can be enabled in three places:

  • Project Template: Navigate to Customizations → Project Templates → (select template) → Click Blue Edit Pencil to Enable Task Estimates Settings.(Admin User Role Required)



     

  • Client Level: Navigate to the client → ProjectsUnder Recurring Projects List → Click Edit to Enable Task Estimates Settings (Recurring Projects User Role Required)
  • Active Project: Open the project → Click Blue Edit Pencil to Enable Task Estimates Settings for this Specific Project
     


 

 

Add or Edit Hour Estimates to a Task

  1. Navigate to Project Tasks (or Global Tasks / Client Tasks / Project Templates).
  2. Click Add Task or Edit an existing task.
  3. Enter the number of Estimated Hours for the task (decimals allowed, e.g., 1.5).
    • Examples: 1.5, 3, 10.25
    • Maximum: 9999.99
  4. Click Save.

 All updates are reflected in project main views, task lists, and reports.

Tip: Tasks copied from templates inherit the template’s hour estimates.

 

Log Time to a Task

  • Select Client and Project in your time entry workflow.
  • If the project has tasks, a Task dropdown will appear.
  • Select the appropriate task.
  • Enter hours worked and save (or stop timer if using Start Timer).


 

Notes:

  • Only tasks linked to the selected project appear when tracking time.
  • Inactive tasks remain on historical entries but cannot be selected for new time entries.
  • If the project requires task selection, leaving the task blank will trigger an error: “A task is required for this project.”
     

View Task Estimates vs Actuals

  • Navigate to the Main Project Tab or Tasks Tab.
  • Task-level estimates and logged hours are summed and displayed.
  • Visual indicators show progress vs estimates for each task.
