Firm360 integrates directly with QuickBooks Online (QBO) so you can easily sync invoices from Firm360 in to QBO. This guide walks you through the steps to ensure invoices created in Firm360 appear in QBO. (Note: This is a one way sync into QBO)
Before You Begin
- Make sure your Firm360 account is connected to QuickBooks Online. (See QBO - Integration for setup instructions.)
- Confirm you have the correct permissions in both Firm360 and QBO to create and sync invoices.
- Double-check your client list and service items are aligned between the two systems.
Steps to Sync Invoices
Create the Invoice in Firm360: Creating an Invoice
Send Invoice to QuickBooks Online (Invoices should sync automatically with browser refresh) If manual syncing is needed follow the steps below:
- Navigate to the invoice you want to sync.
- Click the Actions button
- Select Sync QuickBooks.
- A QBO icon will appear when the invoice has been successfully queued for sync.

Verify the Sync Status
- Navigate to the Invoicing.
- Locate your invoice in the list.
- Look for the Status column:
- New → The invoice is waiting to sync.

Processed Externally → The invoice has successfully synced to QBO.

Error → The invoice did not sync (hover over the error icon for details).
Confirm the Invoice in QuickBooks Online
- Log in to your QuickBooks Online account.
- Go to Sales → Invoices.
- Locate the invoice by client name or invoice number.
- Verify the details match what you created in Firm360.

Invoice not syncing?
- Check that the client is synced to QBO.
- Ensure the service items are mapped correctly.
- Review any error message displayed in the Invoicing Status column.
