You can now request signatures in bulk from multiple clients by creating a document template within your RightSignature account.
Bulk Signature Requests Guidelines
- Single Signer Limitation: Bulk signature requests are limited to documents requiring only one signer per client. This feature cannot be used for documents that require multiple signatures, such as Form 8879, with both a primary and spouse signature.
- Template Ownership: The requester must own and create the template used for the bulk signature request. Only the person who created the template can use it to send bulk requests.
- User-Specific Templates: To send bulk signature requests from Firm360, each RightSignature user within a firm must have their templates saved in their individual RightSignature accounts.
- Template Privacy: To maintain confidentiality and control over the documents, ensure that all templates saved in your RightSignature accounts are marked as PRIVATE.
- Generic Templates: Templates used for bulk signature requests should not contain client-specific information. Prepare templates to be generic and suitable for use across multiple clients.
- Format of Templates: All templates created in RightSignature must be in pdf format. RightSignature will convert a Word document to a pdf but this conversion will not work properly with bulk signature requests in Firm360.
- Remind/Cancel feature: RightSignature users will not have the ability to remind/cancel within Firm360 for these requests.
How to Request Signatures in Bulk within Your Firm360
Before you can bulk request signatures within Firm360, you must create a template within RightSignature.
How to create a RightSignature template:
Log in to your RightSignature account online and choose one of the following options:
- Create a Document Template: Design a new template directly within your RightSignature account for future use.
- Upload a Document: Select a document from your computer to upload and use for signature requests. Your document must be in pdf format when uploaded. The integration with Firm360 will not recognize documents converted to a pdf from within the RightSignature template creator.
When preparing the template, ensure that the field is set to display only Signer1, as shown in the example below:
***The integration with Firm360 will not accept Templates created with multiple signers***
Place request fields (ie signature and/or date fields) where they are needed. Once you have everything in place, click “Next: Review”.
If you choose to add a personalized message, be sure to keep it generic and not client-specific.
Once you click “Create Template” it is imperative that you toggle on the option to “Set template to private”.
You are now ready to request signatures from clients in bulk within Firm360 for this document.
How to Bulk Request Signatures using a RightSignature Template:
Navigate to clients in the black ribbon and use the Search Criteria dropdown to filter in the group of clients you wish to bulk request a signature from. Once you have selected all applicable clients, click the gear that appears and select “Bulk Request RS Template Signature”.
If you have newly create a template within RightSignature you will need to click the refresh circle to the right of the RightSignature Template field. Select the template that you would like to send out and who you want the request to go to; your options here are “Primary Contact” or “Billing if available, otherwise primary”.
Once you click “Submit”, all signature requests are automatically sent out and you can see the sent requests within the documents tab in Firm360 by clicking “Show All Signature Requests”.
From there, you will have the ability to remind clients to sign the document, as well as the option to cancel the document request.
Once your client has signed the document and it is fully executed, it will automatically appear in Firm360 within the client’s personal documents tab. You can also easily find all signed documents in the global documents tab in the black ribbon by adding on the “Has Complete Signature Request” search criteria.
You will also receive an email from RightSignature letting you know that your document has been signed.
Important Reminders:
- Template Ownership: To request signatures in bulk, you must be the template creator and have it set up in your RightSignature account. Only the template creator can send bulk requests.
- Non-Shareable Templates: Other RightSignature users cannot use your templates. Templates set up in your RightSignature account cannot be shared with other users within Firm360. Each user must create and use their own templates.

When creating templates in RightSignature online with a Word document my signature requests are failing: The document uploaded for a template must be a pdf. RightSignature will attempt to convert a Word document to a pdf for you but this version of the document will not work with Firm360 document requests. The initial document uploaded used for creating templates in RightSignature must be in pdf format.

My customized branding settings are not appearing on signature requests when a template is used in RightSignature: Signature requests that utilize a template in RightSignature will not incorporate branding customizations set up in your RightSignature settings. These customizations will only be used for signature requests not using templates.
By adhering to these guidelines, you can efficiently manage bulk signature requests within Firm360.
To send signature requests in bulk, follow these steps:
- Navigate to the Clients section in the black ribbon.
- Select the clients who will receive the signature requests.
- Click on the gear icon dropdown menu.
- Choose Bulk Request RS Template Signature from the dropdown options.
This process will allow you to send out signature requests to multiple clients at once efficiently.
Related to
