Create Detailed Proposals in Firm360

 

You can now create and send detailed Branded Proposals for signature to your clients that outline the services you will provide for accounting, auditing, tax, consulting, and any other services you provide. 

The Proposals feature is designed to communicate the services you’ll provide and the associated charges to your clients. Once the work is completed, you can bill the client accordingly. 

 

 

Enable the Proposals Feature

Under Settings in the Clients Section you will need to enable this feature.

  • Enable Proposals Feature- Start creating and sending Proposals to your clients
  • Enable Firm Logo on Proposals- Your uploaded Logo will now show on your Proposals

After toggling on the Proposal Features, Scroll all the way down to the bottom of the screen and Click Save. 

Do not rename the Document Type: It must stay named Proposal in order for the feature to work.

 

Send proposals to your clients in multiple ways through Firm360. 

  • Send proposals from the Proposals tab in the black ribbon. 
  • Proposals can also be built into a Project Template as a client action and sent out when the project reaches a selected status. 

How to add Proposal Items

Navigate to Customizations in the black ribbon. Scroll to the bottom and Click on Proposal Items. Then Click the Add + button.

 

Types of Proposal Items available are:

  • Header (Possible Example uses: Introduction and Summary) Note: Adding a logo to proposal items is not supported at this time, but we aim to include this enhancement in an upcoming update.
  • Footer (Possible Example uses: Why Choose Us? And Next Steps)
  • Service (List Specific Services and Include Proposed Pricing)

Add Proposal Items that you can use to customize your Proposals. 

Note: Description Maximum characters allowed: 5000

Note: If you’d like to include a total amount at the bottom of your proposal, you can create a 'Proposal Service Total' item and manually input the sum of all services.

How to Create a Proposal Template

Navigate to Customizations in the black ribbon. Scroll to the bottom and Click on Proposal Templates. Then Click the Add + button.

  • Start by naming your Proposal Template.
  • Check the box for Include Pricing if you want the pricing to show on the Proposa.l
  • Add items (Either select the Proposal Items you created or add a Blank Section for a new item)
  • Once you are done adding Proposal Items, Click Save

 

To edit an item, click the pencil icon. Once you are finished making updates, click the Save button.

To rearrange the items within your project template, you will hover over the item you would like to move and then drag and drop it in its new location.

 

How to Send a Proposal to a Client

Scroll to Proposals in the black ribbon. Then Click the Add + button in the right corner.

  1. Select the Client
  2. Select the Template or Select Start from Scratch
  3. Title your Template
  4. Make any edits to the Proposal Items (Example: Removing unwanted items, updating Pricing for specific client, Adding Additional Proposal Items)
  5. Save As Draft or Send to Client

Note: If you choose to Start from Scratch, you will need to follow the steps above to create a Proposal Template and add your desired Proposal Items

 

How to add a Proposal as a Client Action in a Project Template

Navigate to Customizations in the black ribbon. Scroll towards the bottom and Click on Project Templates. Select the Project Template you want to add a Proposal to. Scroll down in the Project Template to the Client Actions section and click on Add A Client Action.

 

Add the following, then Click Save:

  1. Title: Name your Client Action
  2. Create on Status: Decide on which status you want this Client Action to go out.
  3. Type: Select Proposal
  4. Proposal Templates: Select the Proposal Template you want this Project Template to send out
  5. Message to Client: Optional Message to Client

 

Client Notification and Proposal Signing

Once the Proposal has been sent to the client, the client will receive an email notification that your Firm has sent a proposal. 

They will click on View Proposal and log in to their Client Portal. Proposals will show up under Client Actions in the Client Portal. Your client will then click on Sign. Once the Proposal is opened, they will Type their name into the Sign to Accept Proposal Box and click Sign.

 

How to View the Status of a Proposal

  1. View Proposal Status from the Proposals tab in the black ribbon. Use the search criteria dropdown to filter down the proposals. You can also Sort by Client, Status, and Current Status Date.

 

 

  1. View the Proposal status within the Client. Select the Client, then Click on the Tasks Tab. Click on Client Actions. Completed Client Actions will only appear once you click Show Completed Client Actions. This will allow you to view the Proposal Requested Date and Completed Date.



How to view your Signed Proposals

You can view signed Proposals from the Client’s documents or in the Documents tab on the black ribbon. Proposals will be saved as the Document Type ‘Proposal’ so you can easily search for that specific document type within the document sections. 

 

  1. Navigate to the Documents Tab in the black ribbon.
  2. Use the Search Criteria dropdown to search by document type and select Proposals(This will filter your search down to just the Proposal documents)
  3. Click on the red pdf icon to quickly view the document.

Below is an example of what the signed Proposal will look like.  

Client Portal Access will automatically be enabled on Proposal Documents once the Proposal is signed.
