If you have an outstanding invoice that needs to be paid, you can restrict your client's access to their documents in the client portal until payment is received.
Note: The client contact must be configured for the client portal in order for this functionality to work.
This restriction can be done individually or in bulk.
1. For Individual Documents:
- Navigate to Clients on the black ribbon.
- Select the client from the list.
- Go to the Documents tab within the client’s profile.
- On the document you want to restrict downloading for, Click Action on the right side
- Select Allow Client Portal Access.
- In the pop-up, toggle the Require Payment button.
- Select the invoice the client needs to pay from the drop-down list.
2. For Bulk Documents:
- Follow the same steps as above, but select multiple documents.
- Click on the gear icon above the word None, then select Allow Client Portal Access.
- In the pop-up, toggle the Require Payment button.
- Choose the invoice to be paid from the drop-down list.
Once payment is required, you will see a $ sign next to the star icon, indicating that the document is in the client portal but cannot be accessed until payment is made.
Client's Point of View:
The client will see a Pay Invoice to View button. Once clicked, they will be redirected to the Invoices tab to make the payment. After the payment is processed, the document will be available for viewing.
Important Notes:
- If you change a client or make a copy, the invoice lock will be removed.
- If you cancel the invoice tied to the document, the document will be accessible without payment.
- A $ icon next to the portal icon indicates the document is tied to an invoice.
