How can I bulk export my client's documents?

We do not recommend downloading documents, as they are securely stored and protected within Firm360.

If you need to export a client’s document, please contact Firm360 Support at support@myfirm360.com to request that the export feature be enabled for your account.

Export options will not be visible until this feature has been enabled internally.

Bulk Document Download (Admin user role only).

If you need to download multiple documents for a client, you can do so by bulk selecting documents and using our Download Selected Documents ability.

Here's how:

1. Navigate to Clients on the ribbon on the left and choose the client that you want to retrieve multiple documents from.

2. Click on their profiles Documents tab.

3. Select multiple documents by checking the box on the left of the document name.

4. Click on the gear to display a drop-down menu.

5. Choose the Download Selected Documents option from the drop-down menu.

6. A prompt will pop up confirming that you want to download selected documents, click on "OK" to proceed.

7. After you have clicked "OK" from the prompt above, you will now see a green prompt informing you where your bulk document downloads will be located.

  • Click on the blue letters "Document Export" for you to be re-directed to that screen.

8. Once it is available for Download, you may download your documents after you have installed 7-zip onto your pc. Follow your guide to install 7-zip here.

Note: You must install 7-zip in order for it to download because these documents are password protected. Your computer operating system does not come with a native un-zip application that can handle password protected files.

    • You will need to click "show" under Password column in order for you to retrieve the password that will allow you to open up the document with 7-zip.
    • There is a help button which will take you to the instructions to download and use 7-Zip.

 

IMPORTANT: If you try to open and you receive a Error message that is similar to the images below, please watch the video tutorial in the beginning of this article to learn how to extract.

You will always get this message because Windows OS does not have a native zip application where you can unzip password protected documents. Mac OS has a built in zip application that can handle password protected files. 

 

 

 

 

Understanding the Document Export Folder Structure in Firm360

When exporting documents from Firm360, you may notice that the folder structure looks different from what you originally set up. This is completely normal and part of how our export tool is designed to ensure a smooth and consistent experience for all users.

 

Why Does the Folder Structure Change?

The export tool does not copy over custom folders created within Firm360. Instead, it uses a standardized structure to avoid issues and ensure compatibility across different operating systems.

This structure helps:

  • Prevent errors caused by special characters (like slashes /, asterisks *, or colons :) in custom folder names
  • Ensure a clean and consistent layout for all users, making files easier to locate after export

 

How Are My Documents Organized?

When you export your documents, here’s what you can expect:

  1. Each client has their own folder, labeled with their client number
  2. Within the client folder, documents are sorted by year (if a year is assigned)
  3. Within each year folder, documents are grouped by document type (e.g., "Tax Return", "Correspondence")

 

Example:

Client_12345

└── 2023

    └── Tax Return

        └── Jones_2023_1040.pdf

 ***Please note bulk exports contain all files but DO NOT keep the same folder structure ****

 

What’s Working as Intended?

If your documents appear in a different folder structure than you expected—but all your files are there—then everything is functioning correctly. This structure was implemented to optimize your experience and prevent export failures.
