Client - Status

When adding or editing a client in Firm360, you must select a Client Status. This field indicates the client’s current relationship with your firm and determines their access to the Client Portal and how they appear within the system.

Client Status Options

Active

An Active client is currently working with your firm.

  • The client will have full access to the Client Portal.

  • The client will appear on your active client list in Firm360.

  • Your team can continue managing projects, billing, and documents for this client.

Credit Hold

A client placed on Credit Hold indicates that work should be paused until outstanding invoices are paid.

  • The client will have limited access to the Client Portal.

  • They will only be able to access the Invoicing and Payment Methods sections of the portal.

  • This allows the client to review invoices and submit payment while preventing access to other portal features.

Administrators can also configure Firm360 to automatically place clients on Credit Hold after an invoice has been past due for a specified number of days.

To configure this setting:

  1. Navigate to Admin > Settings.

  2. Set the number of days an invoice can be past due before the client is automatically placed on Credit Hold.

Inactive

An Inactive client is no longer working with your firm.

  • The client will no longer have access to the Client Portal.

  • The client will not appear on the active client list in Firm360.

When marking a client as inactive, you will be prompted to enter an Inactivation Reason for your records. You will also have the option to cancel any active projects and tasks associated with that client if needed.

Viewing the Inactivation Details

Information related to an inactive client can be viewed within the Client Status section, including:

  • Inactivated By – The user who marked the client as inactive

  • Inactive Date – The date the status was changed

  • Inactivation Reason – The reason entered when the client was inactivated

These details help maintain a record of why the client relationship ended.
