Customizations - Add Billing Rate Overrides

Billing rate overrides apply hourly rates based on the user providing services instead of service-based rates.

 

Steps to Add Billing Rate Overrides:

  1. Go to "Customizations" in the Admin menu
  2. Click "Billable Types"
  3. At the bottom of the page you will see the Billable Rate Overrides section
  4. Add a billing rate override by Client and/or User.
  5. Add a Billable Rate Override for a Specific User
    Example: The most common scenario is adding a specific user rate for all work.  In this case, leave "Billable Type" and "Client" blank just select the User and enter their rate, and click "Add"
  6. Add a Billable Rate Override for a Specific Client
  7. Non-Billable Office Client Override: If other overrides are entered to see a $0 rate for admin time entries, add a billing rate override for your office client for all categories, types, and users, but select the office client and enter a rate of $0. 



    Time entries will be billed based on one of the following:
    • User and Client rate override
    • Client rate override
    • User rate override
    • Default Billable Type rate

Note: A user’s hourly rate will override the default admin rate of $0, but you should mark admin time entries as "never invoice" to avoid affecting reports. These entries appear in the timesheet report but not in the client realization report.

To see a $0 rate for admin time entries, add a billing rate override for your office client with a rate of $0 across all categories, types, and users.

Additional Note:

If you add or update billing rate overrides and would like existing time entries to reflect the new rates, please contact Support and include the effective date from which the updated rates should apply.

Time entries do not automatically update when rate overrides are changed.
